Step-by-step instructions for handling common scheduling scenarios with Rostery.

Business Closed Days

For days when your business is closed (holidays, special events, etc.), you have two simple options:

  1. Set required staffing to zero - This is the most natural and best way to handle closed days. Simply set the staffing requirements to 0 for all shifts during those days.
  2. Mark all staff as unavailable - Another option is to set "X" for all staff and all shifts during those days.

TIP: Bulk Editing

To quickly mark an entire day as closed, select all requirement cells for that day, then type 0 and press Ctrl+Enter. Similarly, you can select all staff cells for a day, type X and press Ctrl+Enter to mark everyone as unavailable.

Handling Multiple Locations

For businesses operating across multiple locations, you can adapt the current Rostery template to manage staff assignments across different sites.

Example: Coffee Shop Chain

Let's say you operate a coffee shop chain with three locations: Downtown, Mall, and Campus. You need to assign staff to different locations each day:

  1. Create your template with one "shift" per location (e.g., "Downtown", "Mall", "Campus")
  2. Set staffing requirements for each location in the requirements row
  3. Mark staff preferences with "P" for locations they prefer to work at
  4. Mark unavailability with "X" for locations they cannot work at
  5. Run the AI scheduler to generate assignments

This approach works because locations are interchangeable with shifts in the template structure, as long as you have one shift per day. We may add more template types in the future that natively support both multiple shifts and multiple locations.

Special Staff Roles

Many businesses have requirements such as each shift having have at least one staff member with a special role (e.g., supervisor, manager, certified trainer).

The recommended approach for handling special roles:

  1. Create a separate worksheet using the Rostery template for each role category
  2. Schedule each category of staff separately (e.g., one schedule for supervisors, another for regular staff)
  3. Merge the results together in a single table using Excel's features for visualization

This approach gives you the most control over ensuring proper coverage for each role while still leveraging Rostery's AI scheduling capabilities.
